How to manage collaborators and suppliers

Collaborators are external organisations or contractors who are invited to work on a project. Suppliers are managed at organisation level and can be used across projects.

 Who can use this
  • Project administrators
  • Client administrators

Before you start, make sure the following applies:

Make sure you have:

  • Permission to manage project collaborators
  • Access to Organisation Settings if you need to review approved suppliers

View project collaborators

  1. Go to Projects.
  2. Open the relevant project.
  3. Select the settings gear icon.
  4. Select the Collaborators tab.
  5. Review the collaborator table, including contractor name, collaboration started, type, and status.

Add a collaborator

  1. In the Collaborators tab, select Add Collaborator.
  2. Choose or enter the supplier or contractor details required by the modal.
  3. Review the details before sending the invite.
  4. Send the invite only when you are ready for the contractor to access the project.

View approved suppliers

  1. Select Organisation Settings from the left sidebar.
  2. Open the Suppliers tab.
  3. Review the approved supplier organisations.
Checking it worked

The collaborator should appear in the project Collaborators tab. Approved suppliers should appear in Organisation Settings > Suppliers.

Limitations and things to be aware of
  • A supplier is not available to add: Check whether they are listed under Organisation Settings > Suppliers.
  • A contractor cannot access the project: Confirm the collaboration status and check that the invite was accepted.
  • Approvers should not invite suppliers: Review the Approver supplier invitations option in Organisation Settings > Options.
